VOID WORK OPERATIONS OFFICER

Scope of Work: The Void Work Operations Officer is responsible for overseeing the entire void work process, ensuring efficient project tracking and oversight, robust financial management, quality control, and compliance with regulations. The role involves stakeholder engagement and delivering essential reports.
Key responsibilities include:
Project Tracking and Oversight:
- Support the Building inspector to confirm the specification of works and sign off when completed
- Utilise project management tools and software to monitor void work projects.
- Create and maintain project schedules, track milestones, and oversee tasks and deadlines.
- Conduct regular site visits to assess project progress and quality.
- Implement budget tracking processes, including the identification of variations, analysing reasons for variations, and documenting lessons learned.
- Manage project timelines and contingency budgets to ensure on-time and within-budget project completion.
- Expertise in Excel for building and maintaining financial models to capture key metrics related to budget, timeline, costs, and contingency.
- Help assess performance and identify opportunities to improve
Financial Management:
- Instruct works and support the contract management regime
- Monitor variations between the overall budget and actual void work costs.
- Analyse contingency utilisation and reasons for its usage.
- Prepare detailed reports on budget performance and variations.
- Deliver clear and comprehensive reports to stakeholders regarding the budget and financial aspects of void work projects.
- Use financial dashboards to project delivery dates for each void work project based on budget and timeline data.
Quality Control and Compliance:
- Conduct regular inspections to ensure void work is performed according to established quality standards.
- Assess the quality of materials, workmanship, and compliance with safety regulations.
- Ensure compliance with health and safety regulations, building codes, and affordable housing regulations in the UK.
Stakeholder Engagement:
- Collaborate with primary internal stakeholders, including the senior leadership team and IT department.
- Provide regular progress reports to the Building Inspector and senior leadership team.
- Deliver budget performance reports to the finance department.
- Update the Acquisition team on property profiles and collaborate with the IT department for Orchard profile creation and management.
