DURATION/Hours: 3-month initial contract/ 35 hours a week (Mon-Fri, 9-5)
Role purpose:
Commissioning Alliance exists to support local authorities in effectively commissioning services for their most vulnerable residents. In Children's social care, we work across fostering, residential homes, semi-independent living, and SEND brokerage. In Adult social care, we work across the residential and nursing, LDMH (learning disabilities and mental health), and homecare markets.
As a Contracts and Procurement Officer you will:
- Coordinate the procurement administrative process for care providers across Adults, Children's, and Housing markets.
- Collate data, information and prepare reports for Contract Managers.
- Support the business support function with administrative tasks across the Commissioning Alliance markets.
Key accountabilities:
- Monitor and reply to inbox queries, answer calls and emails to ensure good partnership relationships.
- Maintain and develop good records of all projects including spreadsheets of progress.
- Provide support for meetings including booking arrangements, invites, preparing resources and taking minutes.
- To undertake other responsibilities commensurate with the post as required by senior management.
- To support and manage the Quality Assurance tools used by the Commissioning Alliance across all markets.
- To collate information from the procurement portals and centralised market management eBrokerage tool for the purpose of preparing and completing contracts for providers
- Evaluate information to ensure providers meet the minimum standards
- Carry out required checks on providers applying for procurements managed by the Commissioning Alliance
- Provide reports to Contact and senior managers on the evaluation processes and provide regular updates on developments and progress
- To book team meetings, contract related events and manage diaries effectively.
- To provide reports and other relevant information to support Contract Managers in their monitoring meetings.
- Liaise with providers and prepare documents for Contract Management meetings, and other stakeholder events.
- To communicate effectively with providers in response to enquiries made
- Onboarding providers and local authorities to the CarePlace system
Knowledge, skills & experience:
- Good organisational skills and can easily adapt and multitask in a fast-paced work environment.
- IT Skills including advanced/intermediate skills in Excel, Word, Teams, Outlook, and other online databases.
- The ability to develop and manage systems and folders that hold information central to the work.
- Minute taking experience.
