People & Finance Assistant ( 6months FTC )
Experience in either ( Workday, SAP, SAGE, XERO, SAGE & QuickBooks ) is essential
Start date beginning of February 2024
Location Monument days in office 2- 3 days
The Role
The People & Finance Assistant supports operational and administrative activities and tasks for
both the People Operations & Finance functions. Reporting to the Head of People Operations and working closely with each team member across both departments, the role is generalist and broad in scope with plenty of opportunity to take on more responsibility and grow in the role.
You will support Finance with:
Supplier Invoices:
- Entering supplier invoices onto Xero accounts system
- Checking against supplier statements and requesting copies of missing invoices
- Ensuring Heads of Departments approve invoices on a timely basis
- Helping prepare the weekly supplier payment schedule
Payroll:
- Assisting in the preparation of the monthly payroll spreadsheet
- Ensuring all necessary reports and documents are uploaded onto the payroll portal
- Preparation of the monthly payroll reconciliation report
- Ensuring all necessary deductions are recorded accurately
Pension:
- Preparation of the monthly pension report
- Uploading the pension report to the pension portal
- Updating the pension portal for any necessary amendments
- Preparing report for the monthly pension payment
General:
- Checking correct receipts loaded on Corporate Card portal
- Processing fines & charges received by employees
- Preparation of the reconciliation of the Remote contractors invoice
You will support People Operations with:
Recruitment, Joiners and Leavers
- Arranging interviews and diarising appointments
- Organising induction programmes for all new joiners
- Drafting all offer of employment for review for the Head of People Operations
- Administering all onboarding arrangements for all new joiners
- Administering all offboarding arrangements for leavers including arranging the collection of
- equipment for return
- Requesting and providing references for new joiners and leavers
- Managing and responding to all speculative recruitment enquiries
- Diarising start and leave dates, probation periods and other important deadlines, to ensure
- that line managers meet probation deadlines.
Payroll and Benefits:
- Assisting the team with all benefit administration
- Updating the payroll spreadsheet each month for submission
- Updating the People system with new or changes to employee details
- Generating regular and ad hoc reports from the People System
- End to end organisation and administration of the company vehicles programme
General
- Raising all Purchase Orders for the People department
- Continuous review and development of People Operations administration ensuring best
- practice and up to date information and procedures
- Ensuring all scanned documentation is maintained and correctly filed on-line for access by
- the People Operations team
- Ad hoc correspondence
- Providing basic advice to staff on the firm s benefits, policies and procedures
- Providing support with any People projects or ad hoc tasks as required
This role will suit if you
- have previous HR and/or finance administration experience, along with a willingness to
- work across both departments
- are numerically competent and detail oriented and have strong organisational and
- prioritising skills
- have excellent oral and written communications skills
- have excellent interpersonal skills and ability to build rapport quickly with key colleagues of
- all levels, and have a positive can do attitude
- have the ability to adapt to different situations and environments
- have the ability to work under pressure and in keeping with deadlines
- have a good knowledge of Word, Outlook, Excel.
