Guidant Global is recruiting on behalf of a highly recognised university for an Institute Administrator for a 6-month contract with an immediate start.
This role is focused on providing key support and functions to enable the Institute's activities across all operational areas, including HR and recruitment, financial processes, and health and safety/estates management. Reporting to the Institute Manager, the role holder will set up, implement, oversee, and manage administration processes contained in this job description, and be proactive in contributing and suggesting ideas for improvement.
In this role, you can expect to:
- Act as the first point of contact for IIPP and manage front-of-house activity, answering and/or escalating inquiries efficiently and appropriately to colleagues.
- Support the Institute Manager to ensure the Institute complies with organisational and statutory Health and Safety regulations.
- Administer and manage all HR and procurement processes, including recruitment, contractor set-ups, and ensuring staff reviews, inductions, and probations are completed effectively.
- Promote a customer service culture across the Institute's structure.
- Set up, implement, and oversee financial administration processes, in line with the Institute Manager and Faculty Finance officer's requests.
- Support the forecasting and budget development process at IIPP.
- Process purchases, internal transactions, and staff/visitor expenses, as required.
- Support the Institute Manager to develop, deploy, and monitor systems to implement best practices and compliance in line with policies and guidelines.
- Assist with the setup of the Departmental meetings, completing and circulating agenda, and taking minutes as required.
- Arrange and service a range of meetings and committees including advisory board meetings, summer and Christmas parties, and any other meetings relating to the Institute.
- Attend staff meetings and training as required.
- Follow and promote policies, including health and safety, equal opportunities, and race equality policies.
- Other duties as are within the scope, spirit, and purpose of the job, as requested by the line manager.
We're looking for candidates who have:
-Experience of Human Resources (HR) and Finance Administration
-Experience with managing and reporting on data from MyFinance and MyHR
-Establishing, managing, and maintaining email distribution lists, building and system access
-Experience of line management/supervising staff
-Experience of facilities/estates management
-Effective planning, organisational and time management skills, with the capacity to handle multiple projects and conflicting deadlines whilst taking personal responsibility for achieving deadlines
-Excellent verbal and written communication skills (including accurate grammar, spelling and punctuation)
-Excellent interpersonal and networking skills with the ability to relate to a wide variety of people
-Ability to work collaboratively as a team and independently
-Excellent computer literacy, including Office365, SharePoint, and Slack
-Ability to use initiative and be proactive in dealing with workloads.
-Positive, upbeat, and empathetic with a high standard of customer service, both internally and externally, and also enjoys working at pace.
-Good judgement with the confidence to make decisions.
-Flexibility to occasionally work outside of standard office hours.
