- Maintain the charity financial ledger system (Sage), including posting of all income and expenditure transactions and recording of all the charity's debtors and creditors.
- Ensure all petty cash receipts are checked and are in line with the purpose of the trust fund and have been signed in accordance with the Trust's SFI's.
- Maintain up-to-date knowledge of The Charity Commission regulations for NHS Charities and the legal difference between charity and Exchequer funds.
- Co-ordinate with the cashiers to ensure that donations are accurately and correctly receipted into the charity bank account.
- Manage outstanding orders and chasing of any goods not delivered as requested by fund managers.
- Maintain monthly reconciliations, including a cashbook, accurately recording all payments out of and donations into the Charity bank account.
- Reconcile this cashbook to the bank account, identifying differences and taking corrective action where necessary.
- Reconcile monthly control accounts.
- Arrange payments to suppliers via cheques or BACS. Ensure appropriate authorisation for each method of payment. Process and upload journals when required.
- Liaise with suppliers to arrange payment of purchase invoices, and to answer any purchase queries.
- Raise invoices to recharge external bodies (including the main Trust) for expenditure initially funded via the charity.
KNOWLEDGE, SKILLS, AND EXPERIENCE REQUIRED
- The ideal minimum qualifications are 5 GCSE's (including Maths & English), 2 A' levels and be working towards AAT (or equivalent) accounting studies.
- The post holder will also need excellent interpersonal and communication skills, analytical and problem-solving skills, enthusiasm, commitment, initiative, and the ability to work well under pressure and to strict deadlines.
- A high level of computer skills is required (especially for Microsoft Word and Excel spreadsheets) with a very high level of accuracy. A detailed understanding of charitable accounting procedures (especially the regulations of the Charity Commission) is required as is a high level of organisational skills to manage own varied workload.
- A good working knowledge of the accounting software Sage is beneficial.
