A leading international law firm is hiring an Executive Assistant on an initial 12-months fixed term contract to support the firms CFO and Finance Director. This position is paying up to 51,000 plus 50:50 hybrid working available.

The Executive Assistant will be fully involved in all aspects (operational and strategic) of the Chief Financial Officer s and UK Finance Director role, dealing with day to day demands such as preparing spreadsheets, preparing PowerPoint presentations, handling highly confidential matters, dealing with enquiries, ensuring progress on matters and efficiently managing activities.
Duties as an Executive Assistant:
- Manage, prioritise and proactively organise CFO and UK Finance Director s diary. Monitor emails and flag appropriately, archiving, deleting sales emails.
- Arranging travel schedules and hotel accommodation for the CFO and other team members when required. Organise meetings / arrangements to office and organise visas if required. This includes assisting with arrangements for other team members visiting from other offices as required.
- Scheduling internal and external meetings, lunches and virtual conference calls, agenda preparation, minute taking and circulation, action tracking, managing clashes, monitoring attendee list for any changes, IT / AV set up.
- Supporting the Head of Group Accounts with the annual International Finance Managers Conference; date setting, agenda management, venue selection, seating plan, hotel co-ordination, external dinner venue for c. 40 international attendees.
- Work closely with Group Accountant and review and amend the Accounts for any personnel changes, update dates and save final copy to intranet. Organise signatures with CFO, CEO and Chairman.
- Presentations & Broadcasts Preparation of presentations for example, the Partners Broadcast, Partner Retreat slides, Partner meetings etc.
- Working closely and building a strong relationship with the C-suite. In addition; relationships with partners, Board Members, Heads of Country, Practice and Sectors and Finance managers internationally, London accounts team and various other business services departments and be a first line of call for queries.
- Responsibility for coding and processing of departmental invoices, virtual credit card and expense card systems and managing communications with suppliers on payment of invoices.
Skills as an Executive Assistant:
- 4 years + Executive Assistant experience supporting senior members of staff.
- Experience working in a Finance department within a law firm would be preferred.
- Highly computer literate (Word, Excel, PowerPoint with experience of using a document management system) and excellent attention to detail required.
- Experience working with Accountants would be beneficial.
- Experience of managing projects from initiation to completion.
