Venesky-Brown s client, a public sector organisation in Edinburgh, is currently looking to recruit an Administrator for initial contracts until 31/03/2024 on a rate of 13.03/hour PAYE. The working hours are 08:00 16:00, 37.5 hours per week. These roles will be based onsite at the Gyle, Edinburgh.

- Process and validate the electronic registration of patients, ensuring that the information is accurate so that quality patient information can be provided to support patient care and meet National Regulations.
- Transfer medical records between GP Contractors in Scotland, Health Authorities and an external Storage company within Regulation timescales thus ensuring that GP s have the relevant information on which to make clinical decisions relating to patients.
- Responsible for carrying out the daily partners transactions and amendments for GP practices accurately in a timely manner. These transactions update the CHI system, and other organisational systems, with patient s GP registration and demographic details
- Expedite urgent requests and reminders for medical records to ensure the required clinical information is received as quickly as possible. The postholder will liaise (if necessary) with the contracted storage company to ensure the efficient retrieval of medical records.
- Update and maintain the CHI database by processing patient data amendments and linkages to ensure that data is accurate and up-to-date which support the Contractor Finance department. The postholder does not have signatory authority however they are responsible for ensuring that appropriate payments are made to GPs and that the screening programmes work effectively.
- Provide assistance to patients and organisational Boards on a wide variety of registration issues. Also provide assistance to Social Work Departments, and Police Scotland, this is either done by telephone or in writing depending on the complexity of the information required and in line with GDPR and the organisation s Confidentiality Agreements, to assist with patients health care requirements.
- Collate and reconcile data received in the form of practice downloads against the CHI by appropriate reconciliation software. The postholder will conduct regular audits by this process to check and maintain accuracy of patient details held on CHI.
- Participate in data quality exercises to ensure accuracy and control patient inflation on the CHI including compiling practice lists of returned undelivered mail, inserting missing postcodes and institution codes, and investigating patients with duplicate numbers which can occur when incorrect data is entered, or the patient is registered twice to avoid any interference with GP Payments.
- Respond to queries from the Central Register to resolve issues arising through patient movement, ensuring national data is accurate and up to date.
- Handle enquiries from Patients, GP practices, Secondary Care, CAPITA, Boards, Primary Care Support, Police Scotland, and Social Services etc verbally by telephone or in writing offering appropriate advice and information.
- Support colleagues within team by developing, maintaining and proposing changes and updates to ongoing documentation of standard operational procedures relating to the integrity of CHI data and maintain CHI system, ensuring procedures are accurate and up to date. Contribute to changes in procedures, e.g., as a result of changes to data protection legislation, ensuring these procedures are applied within own area.
- Educated to Higher standard grade (or equivalent) with experience in office environment.
- Standard keyboard skills
- Proficient in use of Microsoft Office suite

- Ability to work as part of a team or as an independently with a strong customer focused approach.
